Moore Fitness and Health ("MFH", "we", "us" or "our") respects your privacy and is committed to protecting the personal and health information you provide to us.

Some of this information may constitute health information or sensitive information under Australian privacy law and is treated accordingly.

  • provide personal training, fitness, massage, kinesiology, coaching and wellbeing services;
  • understand your needs and provide services that are appropriate for you;
  • manage appointments, bookings and payments;
  • communicate with you about your appointments or services;
  • maintain appropriate client and business records;
  • respond to enquiries;
  • improve our services;
  • meet legal, insurance and professional obligations; and
  • send information about Moore Fitness and Health services, workshops, events, news or other updates where you have consented or where otherwise permitted.

Where we collect sensitive or health information, we only collect information reasonably necessary for our services and obtain consent where required.

Where practical, we collect personal information directly from you.

  • complete a client, health or screening form;
  • book an appointment or service;
  • attend a consultation, treatment, coaching or training session;
  • contact us by telephone, email, social media or through our website;
  • register for a workshop, webinar or event;
  • subscribe to our communications;
  • make a payment; or
  • otherwise provide information to us.

In some circumstances, and with appropriate authority or where otherwise permitted by law, information may be provided by another person or health professional.

4Health and Sensitive Information

Because of the nature of our services, we may need to collect information about your health, injuries, medical history, physical abilities or wellbeing.

We recognise that health information is sensitive and requires a higher level of protection.

We only seek information that is relevant to providing our services and take reasonable steps to keep this information private and secure.

You may choose not to provide certain information. However, where information is necessary for us to safely or appropriately provide a service, this may affect our ability to provide that service.

5How We Use and Disclose Your Information

We generally use personal information for the purpose for which it was collected or for a related purpose permitted by law.

We do not sell or rent your personal or health information.

We use trusted third-party service providers to assist us in operating our business. These currently include:

  • Squarespace – to host and operate the Moore Fitness and Health website and provide website functionality;
  • Omnisoft CRM – for customer relationship management, client communications, email marketing and social media activities;
  • Stripe – to securely process online payments; and
  • Microsoft OneDrive – for electronic storage of client records and business information.

We may also disclose information to accountants, insurers, professional advisers or other service providers where reasonably necessary for the operation of our business.

Health information will not ordinarily be disclosed to another practitioner or third party without your consent unless disclosure is otherwise permitted or required by law.

We may also disclose personal information where you have consented or where we are required or authorised to do so by law.

6Referrals and Other Health Professionals

Where appropriate, we may recommend that you consult another health, medical or allied health professional.

We will not ordinarily provide your health information to another practitioner or service provider without your consent unless disclosure is otherwise permitted or required by law.

7Storage and Security

We take reasonable steps to protect the personal and health information we hold against misuse, interference, loss, unauthorised access, modification or disclosure.

Client records, which may include health questionnaires, consultation information, session notes, treatment notes and other information relevant to the services we provide, are stored electronically using Microsoft OneDrive.

Other information may be held within the secure business systems we use, including Omnisoft, Squarespace and Stripe.

Access to client records and sensitive information is limited to authorised persons who require access for legitimate business or service purposes. We use reasonable administrative and technological safeguards, including appropriate account and access controls, to protect the information we hold.

Personal information is retained for as long as reasonably necessary to provide our services and meet applicable legal, professional, insurance and record-keeping requirements. When information is no longer required to be retained, we take reasonable steps to securely destroy or de-identify it.

8Website, Cookies and Analytics

The Moore Fitness and Health website is hosted using Squarespace.

When you visit our website, certain technical information may be collected, such as your browser, device, network, IP address and information about how you interact with the website.

Squarespace and other services used on our website may use cookies and similar technologies to provide website functionality and help us understand how the website is used.

Cookies are small data files stored on your device. They can help websites function correctly, remember preferences and provide information about website usage.

Where appropriate, our website may provide options regarding the use of non-essential cookies.

You can also manage or restrict cookies through your browser settings, although doing so may affect some website functionality.

9Email, CRM and Social Media

Moore Fitness and Health uses Omnisoft to assist with customer relationship management, email communications, marketing and social media activities.

If you make an enquiry, become a client, subscribe to our communications or otherwise provide your contact details, relevant information may be stored and managed through our CRM system.

We may use your contact information to communicate with you about our services, appointments, workshops, events, news or other Moore Fitness and Health information where you have consented or where otherwise permitted by law.

You may unsubscribe from marketing emails at any time using the unsubscribe option provided in the communication or by contacting us.

Unsubscribing from marketing does not prevent us from contacting you where necessary in relation to an appointment, booking, payment or service you have requested.

10Payments

Moore Fitness and Health uses Stripe to process online payments.

When you make a payment, information required to process the transaction is provided to Stripe. This may include your name, contact information, payment details and transaction information.

Moore Fitness and Health does not need to directly store your complete credit or debit card details when payments are processed through Stripe.

Stripe handles payment information in accordance with its own privacy and security practices.

11Overseas Processing

Some technology and service providers used by Moore Fitness and Health may store or process information using systems or service providers located outside Australia.

These may include providers involved in our website, customer relationship management, communications, cloud storage and payment processing.

Where personal information is disclosed or processed overseas, we take reasonable steps as required under applicable Australian privacy law in relation to the handling of that information.

12Photographs, Video, Testimonials and Recordings

We will seek appropriate consent before using identifiable photographs, video, testimonials or recordings of clients for promotional, educational or marketing purposes.

Consent to receive services from Moore Fitness and Health does not automatically constitute consent for your image, testimonial, video or recording to be used for marketing or promotional purposes.

Where webinars, workshops or online sessions are recorded, participants will be notified and consent will be obtained as appropriate.

13Accessing or Correcting Your Information

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete or misleading.
